European Exhibition Solution for Iron Mountain

Iron Mountain the global leader in information protection and storage services, contacted Bamboo Events Ltd to consolidate the management of their European exhibition attendance, whilst also securing additional resource for their in-house Marketing team.
Having reviewed the company’s Calendar of Events and requirements for a design that would reinforce their image, promote their products and services and appeal to visitors, Bamboo produced a bespoke solution to be stored and transported to each European trade show.

In designing a concept, Bamboo’s first aim was to create a memorable focal point that would grab visitor’s attention and draw them onto the stand. This was achieved by the design and build of a large replica vault. It also enhanced Iron Mountain’s presence and message in the provision of secure information protection and storage.
To ensure the stand was interactive, engaged with visitors and generated leads, Bamboo also developed a competition. By completing a lead form, visitors would be given the opportunity to select a card with its own unique code. This code would then be entered into an electronic lock in an attempt to open the vault. If the code was correct the vault door would open, allowing the visitor to win the prize safely concealed inside.

Other key elements to the stand design were 2 large graphic light boxes, to promote Iron Mountain’s products and services with high visibility.
A customised Information Desk was also designed, with the provision of a plasma screen to run a corporate video. This was a natural meeting point for visitors wishing to enter the competition or collect literature. Bamboo also provided a Demonstration Pod with TFT screen, to allow Iron Mountain to showcase their products in more detail.
Finally, by providing essential items such as literature racks, furniture, internet access and refreshments and by also ensuring the exhibition stand is refurbished after each event, Iron Mountain continually receive a professionally managed, memorable and consistent corporate image throughout Europe. |

Petroleum Company Drum in the New Year

Looking to organise their Christmas Party, one of the UK’s largest petroleum companies required an event that would not only celebrate Christmas and the New Year, but also appeal to the 80 diverse guests due to attend.
Having discussed their requirements, Bamboo provided a comprehensive proposal with a shopping list of venues and entertainment ideas. After a site visit, The Berystede Hotel in Ascot was confirmed, offering a main function room for a 3 course dinner and disco and a separate bar area.
To ensure the entertainment for the evening was truly unforgettable, Bamboo organised a surprise Drumming Experience – an interactive and powerful way to bring different groups of people together.

After coffee was served, a facilitator and his team burst into the room playing authentic African drums, whilst smaller drums were handed out to each guest at their table.
In this highly charged atmosphere, guests were invited to participate by repeating beats, playing individual rhythms and with the use of hand signals, were encouraged to play faster, slower, louder or quieter.
The party was transformed into an orchestra, creating a highly infectious musical performance. With an equal part to play, guests were united with lots of energy before celebrating the rest of the evening.

Unforgettable Business Incentive to Los Angeles, USA

Bamboo Events Ltd were approached to design, implement and manage a business incentive to Los Angeles, USA for a leading computer technology company. Having recommended the programme for the 5 day event and awarded the project only 4 weeks prior to travel, the team set to work on the logistical arrangements.
Bamboo specially created registration forms to record important guest information such as contact details, dietary needs, passport credentials, accommodation requirements and tour objectives. Guests received emails confirming their attendance, along with a pre-event teaser outlining the event programme, items to pack and weather forecasts.

On the day of departure, Bamboo’s Event Manager was onsite to greet guests at London’s Heathrow Airport and accompany them to the States. Welcome packs were distributed, allowing guests to review the event itinerary and biographies from the fellow attendees during the flight. Hostesses were on hand to escort the group by luxury coach from LAX Airport to the Westin Bonaventure Hotel.
Welcome letters and gifts were placed inside guests bedrooms prior to arrival, before a buffet reception in the Bonavista Lounge – a revolving bar on the 34th floor offering unrivalled views over the city.
To ensure the trip was memorable and that guests had the opportunity to experience Los Angeles, carefully thought-out social activities were arranged. This included access to a VIP Suite at the Staples Centre to attend the LA Lakers vs. Minnesota Timberwolves basketball game. A private buffet and bar, Lakers t-shirts and baseball caps were available for all.

The programme also included a walking tour and dinner in Hollywood, visiting Grauman’s Chinese Theatre, the Walk of Fame, the Hollywood Sign and the El Capitan Theatre.
On the final day, guests were transferred to Santa Monica for lunch followed by a guided tour of its landmark attraction; the Santa Monica Pier. After free time to shop and on the return journey to LAX Airport, a short stop was made to visit Venice / ’Muscle’ Beach and watch the sunset. A fitting end to an unforgettable programme in LA – the city of Angels! |

Setting the Stage for Microsoft in Barcelona

Bamboo Events Ltd provided a stage set and full audio visual equipment for a recent Microsoft CSS Management Summit held at the Melia Sitges Hotel in Barcelona.
The Microsoft Customer Services & Support Division, with their own internal ‘design team’ had arranged the majority of event logistics from booking the chosen venue, handling registrations and arranging local airport transfers for the 160 delegates attending from across EMEA (Europe, Middle East & Africa).
As an experienced supplier, working throughout Europe, Bamboo was contacted to set the stage for the conference sessions and evening awards dinner.
Bamboo provided a 9.6m stage set with full back projection, branded with Microsoft logo graphics.
The professional look was enhanced with effective lighting to create impact and ambiance around the function room. Bamboo also provided a dedicated onsite Event Manager, experienced local technicians and the sound and AV requirements that allowed the event to run smoothly.

FashionExpo. A Stylish Debut Event.

Attracting over 1,300 visitors, FashionExpo held at the Business Design Centre Islington, proved to be an innovative debut trade event, showcasing the talent and quality available from London based manufactures and designers.
But every trade event (in particular the first of its kind) requires an experienced and dedicated events team to ensure the successful management of the project. Bamboo Events Ltd was delighted to be a part of the team responsible for bringing together over 75 exhibitors, a series of seminars and workshops, catwalk fashion shows and an exclusive Gala Awards Ceremony over the two days.
Whilst working with and supporting a variety of fashion industry experts and partner organisations, a detailed structure for the event was put into place guaranteeing a cohesive programme and interactive event experience.

The Events Team were also responsible for securing and managing exhibitors at the event, designing and allocating the layout of the space, liaising with the Business Design Centre, substantial audio visual requirements for the catwalk and workshop sessions, scheduling and hosting regular steering group meetings, ensuring the smooth registration of visitors, press, photographers and film crews and providing dedicated budgetary control, onsite management and post event analysis.

Flawless Organisation for MSN Autos at the International Motor Shows

Bamboo Events Ltd have been providing flawless logistical organisation for Microsoft MSN Autos attending the Geneva, Paris, Frankfurt and Tokyo Motor Shows since March 2005.
To ensure MSN’s team of Journalists, Video Editors, Photographers and Sales Managers can offer the most comprehensive real-time coverage at all these major shows, including photo galleries, streaming video and top editorial stories, Bamboo is responsible for the thorough pre-planning that’s required months in advance.
Accommodation and travel logistics take top priority for the team attending from Seattle and London. Bamboo conducts extensive searches to secure the most suitable accommodation, allowing easy access to the Geneva Palexpo, Paris Porte de Versaille, Frankfurt Messe and Tokyo Makuhari Messe. Flights are confirmed and e-tickets issued.
High speed internet access for each team member is essential to ensure coverage can be uploaded to 10 MSN websites across Europe. Bamboo liaises directly with the show organisers to guarantee these connections, obtain the latest Press Schedules and process individual Press Accreditation.
In some instances a private Editorial Room is confirmed within the venue or sourced at nearby hotels to guarantee the working environment required.
Comprehensive briefing documents are designed to inform the team of key information such as contact details, rooming lists, flight information, transfer options, accreditation processes, press centre services and local weather forecasts.
